Chapter Guidelines for Contacting a Prospective Member

  • Look the ancestor up in the emembership GRS system. Fill out as much as you can on the pedigree sheet and an application using build-an-app, and create a family tree on ancestry.
  • Send the prospective a pedigree sheet for them to fill out.
  • Listen to what the prospective is looking for in a chapter. If they don’t know thats okay!
  • Educate them on our chapter by providing resources such as facebook, website, instagram, pinterest, informational sheet.
  • Introduce them to the chairman or officer who can best help them achieve their goals.
  • Introduce them to the membership committee, be sure they are invited to membership events.
  • Contact the corresponding secretary to add them to the newsletter mailing list.
  • Don’t forget to update the PMD. You should also have your own record keeping system that mirrors the PMD.
  • Once they fill out the the pedigree system ask them to find the paper work for the first three generations.
  • Once they have demonstrated interest in the chapter by: attending events, filling out most of the pedigree sheet, and starting to gather the first three generational documents. Complete the research for the rest of the generations.
  • Any trouble completing it contact the district for help.
  • Print out supporting docs and application.
  • Organize a signing.

Chapter Bylaws
Section 8. The Registrar shall:

a.furnish or make available an application to candidates whose acceptability has been favorably acted upon by the chapter;

b.ascertain, prior to submitting, that the application is in proper form and accompanied by properly prepared supporting documentation;

c.see that together with the application and documentation, the proper fees are remitted as established by the current procedure of the National Society;

d.notify the regent, recording secretary, corresponding secretary, treasurer and new member of acceptance to membership;

e. notify officers of the state organization, as required;

f.upon transfer out of the chapter, send the member’s application to the member (if transfer is to member-at-large) or the receiving chapter, in accordance with instructions of the National Society;

g. report to the Office of the Organizing Secretary General all changes in membership, marriage, divorce, deaths, resignations, transfers and changes in contact information as they occur.

    Read Chapter Bylaws, Article VI – Duties of Officers, section on Registrar for additional (see next section).

  • Secure password to e-Membership. When new officer updates are received in the Organizing Secretary General’s office and updated, you may request your password online at the e-Membership home page.
  • Attend Membership Workshop in your state.
  • Keep on hand publications available from NSDAR:
  • Provide application papers and assistance to prospective members of the chapter.
  • Check that application papers are completed properly, with all necessary signatures IN BLACK INK before giving them to the chapter treasurer for mailing. The chapter signature required may be any of the five elected officers. (See DAR Genealogy Guidelines)
  • As soon as notice is received of admission of new members by the National Board of Management; notify: the regent, chaplain, recording secretary, corresponding secretary,
    and treasurer.
  • Communicate with Junior Membership chair regularly. Assist her in maintaining current
    file with birth dates.
  • Check Prospective Member Database System regularly. Once every other week.
  • Check periodically on the progress of prospective members (every week/use your judgement), offering assistance.
  • Report changes promptly to the Office of the Organizing Secretary General using the Membership Change Form. Also notify the state registrar.
  • Seek assistance from the State Lineage Research or Volunteer Genealogists Committee
    for complex applications and assistance with Additional Information Required (AIR)
    letters. District VIII before state.
